Job Description / Duties
The Office Coordinator reports to the IATSE Local 118 Executive Board and is responsible for office administration and supervising the dispatch department. This is a role that calls for a highly organized individual who will effectively work with diverse personalities in complex situations. The Office Coordinator will need to frequently work independently without direct or on-site supervision for extended periods of time. The person in this position will find it necessary to exercise independent initiative within established boundaries while diffusing conflict and objectively reporting events.
Administrative duties will require working under multiple supervisors with intersecting portfolios. Examples include; reception, administration (office, website and IT), record keeping, travel coordination, correspondence and data entry.
Supervisory work will require various HR and coordination duties for the Local’s dispatch service. Examples include; scheduling workers, training dispatchers, referring members to employers based on skills and seniority, interpreting crew requests, preparing labour estimates under varying contracts, and dealing with the concerns, objections, and complaints of both workers and employers. Dispatch is a highly dynamic work environment with high pressure under tight time constraints. The Office Coordinator must remain cool and mission-oriented under pressure. They maintain calm demeanour while addressing concerns and diffusing conflict within established policy.

Additional Information

● Ability, training or experience relevant to customer service and complaints
● Computer proficiency with any of word processors, spreadsheets, databases, html and/or accounting programs
● Familiarity with the live events industry; its departments, job titles, practices, and jargon.
● Willingness to occasionally work weekends, evenings and/or overtime.
Salary: $25.50/hr, two weeks vacation annually, and enrollment in the Locals co-pay benefits programs. These include contributions for the Local’s Health and Welfare plan, and matched RRSP contributions.
