Job Description / Duties

KEY ACCOUNTABILITIES

Finance

Oversee day-to-day management of the Finance Department including personnel management which includes but is not limited to: General Ledger, Accounts Payable, Accounts Receivable, Payroll, bank reconciliations, monthly accounts which will include, but is not limited to: department cost reports, cash flows, budget development, feasibility studies, ad-hoc reports, preparation of financial statements including updated forecasts. Current department headcount is four (Staff Accountant, Payroll Administrator, Accounts Payable Specialist, Business Systems Manager).
Oversee payroll processing and ensure accurate and timely payment of employee salaries and reconcile any remittances regarding benefits or union payments.
Establish and maintain internal controls to safeguard assets, prevent fraud, and ensure compliance with financial policies and regulations.
Conduct in-depth financial analysis to provide insights and recommendations to Management for strategic decision-making.
Prepare operating and capital budgets for all areas of the Citadel’s operations.
Provide support to program directors in the areas of budget development, financial reporting and cost implications.
Attend and participated in Citadel Theatre Board of Director Meetings, various Committee Meetings, and Board of Governor Meetings as required.
Be the principal contact for the Citadel Theatre’s bankers and auditors.
Negotiate and oversee contracts related to financial services, insurance, and banking.
Implement Box Office systems which include but are not limited to systems for accounting and cash control.

Leases

Work with the Executive Director to ensure effective contract management and invoicing for tenants, service providers, and other agreements related to facility use.
Maintain appropriate recording procedures to ensure the effective accounting and collection of rental receipts.

Systems Management

Develop, implement, and maintain reporting systems for management and financial information purposes, including but not limited to: recording of revenue and expenses to facilitate Management’s ability to make decisions based on accurate historical data; recording subscription and casual sales, donations, sponsors, and ancillary giving; and any other record-keeping as determined to be relevant to organizational health.
Lead change management initiatives related to financial and operational systems, ensuring smooth transitions, effective communication, and staff training to enhance adoption and efficiency.
Authorize purchasing as requested by Management and approved by the Executive Director.

Grants & Funding

Oversee financial management of grants and government funding, including budgeting, drafting, reporting, and compliance.
Ensure timely and accurate financial reporting for grantors, funders, and government agencies.
Work with the Community Engagement team to support funding applications by providing necessary financial data, forecasts, and justifications.
Monitor grant expenditures to ensure funds are used in accordance with guidelines and organizational priorities.

Facilities Maintenance

Oversee financial aspects of facilities maintenance.
Authorize purchasing as requested by Management and approved by the Executive Director.
Other

At the request of the Executive Director, act as the Citadel’s representative at arts-related meetings, government departments, city council or other various groups and committees that would increase the profile of the Citadel Theatre in Edmonton and across the country.
Manage the Citadel Theatre’s insurance policies, ensuring adequate coverage for property, liability, directors and officers (D&O), business interruption, cybersecurity, and other necessary protections to mitigate financial and operational risks.
Ensure financial alignment with the Citadel Theatre’s Strategic Plan (June 2025), integrating its priorities into budgeting, forecasting, and resource allocation to support long-term sustainability and growth.
Evaluate and manage employee benefits programs, including health insurance, retirement plans, and other financial wellness initiatives, ensuring compliance and cost-effectiveness.
Be aware of the agreements in place at the Citadel Theatre and when required, work effectively with the agreements (IATSE, Canadian Theatre Agreement – CAEA, Associated Designers of Canada, AF of M, PACT, PGC).

Qualifications / Required Skills

REQUIRED QUALIFICATIONS
Education: Bachelor’s degree in Accounting or Finance or equivalent.
CPA designation
Experience: Minimum of 8-10 years in finance roles, with at least 5 years in a Senior Finance leadership role. Experience in non-profit preferred.
