Position description
The Administrative Technician provides administrative and technical support for faculty, staff, and students in a busy academic department, and acts as liaison with outside organizations and constituencies. The Administrative Technician reports directly to the Department Head and works collegially with the Departmental Administrative Assistant. Duties are varied and include both clerical and financial work, as well as technical assistance with Department events, instruments, equipment, and recording technology. The Administrative Technician interacts directly with purchasing, accounts payable, facilities management, computing services, and conference services. This position necessitates a flexible work schedule, with the ability to work weekends and evenings as required.
Position Responsibilities
• Administer finances and manage budget lines, with the Department Head
• Hire and supervise student employees, including concert technicians and large ensemble librarians and assistants
• Organize and schedule student performance juries and recitals
• Manage payroll for all student employees and collaborative pianists
• Act as the primary contact for facility bookings, both internal and external, including serving as the liaison with Facilities Management (including Custodial Services)
• Act as Building Contact for the Conservatory of Music; duties include the completion of monthly safety inspections of building
• Order, maintain, and catalogue equipment and musical instruments, arranging off-site maintenance when required
• Oversee technical production of concerts, special events, and external users of building spaces, as determined by the Department Head; duties include recording and livestreaming, lighting design, post-production/editing, and audiovisual production.
• Order supplies and equipment and look after all purchasing needs of Department
• Provide technical maintenance of classroom spaces and equipment, in consultation with Computing Services and Facilities Management
• Provide technical maintenance and oversight of Brunton Auditorium, its sound booth, and instruments and equipment stored within it, in consultation with the Department Head, Computing Services, and Facilities Management
• Provide support for the New Music Creation Lab, in consultation with the faculty lab director
• Administer keys, lockers, and other facilities duties as needed
• Update sections of the Music Department Website and ensure that University sites (such as the campus on-line Calendar of Events) are updated with current Music event information
• Maintain the Departmental Social Media sites (Facebook, Twitter, etc.) and digital signage, updating with appropriate content in cooperation and consultation with the Music Administrative Assistant.
Qualifications / Required Skills
• Strong knowledge of classical music repertoire, styles, and instruments; Bachelor of Music preferred
• Strong computer and technical skills
• Experience with video and audio recording techniques, recording hardware (speakers, microphones, video cameras, cables, mixers, etc.) and recording and editing software (i.e. ProTools, Logic Pro, Final Cut Pro, OBS/Zoom/streaming software)
• Knowledgeable about current technology and practices in a live venue setting. Includes lighting design/equipment, live sound, video production and livestreaming, and computer software/web page editing.
• Excellent interpersonal and communication skills
• Ability to manage multiple constituents, organizations and outside agencies with highly different needs
• Initiative, organizational abilities, and self-motivation
• Excellent problem-solving skills
